Job Summary

The Nursery Administrator position is being offered on a Part-time basis working 15 hours per week from Monday to Friday. You will ideally work 3 hours per day between 1pm and 6pm - some flexibility is required.

About The Role

As a Nursery Administrator, you'll provide a warm and professional welcome to families, visitors and colleagues, both in person and over the telephone. You'll support the day-to-day administration of the nursery, helping to ensure processes run efficiently while contributing to a positive experience for children and their families.

You'll also play an important role in promoting the nursery within the local community and supporting activities that raise awareness of the services we provide.

What You'll Be Doing

In this varied and rewarding role, you will:

  • Welcome families, visitors and professionals with a friendly and helpful approach, managing enquiries both in person and over the telephone.
  • Support parents throughout the nursery admissions process, including arranging viewings, sending information packs, booking settling visits and maintaining records on our nursery management system.
  • Maintain accurate and confidential records, including children's files, accident records and other important documentation.
  • Provide administrative support for HR processes, including arranging interviews, preparing recruitment paperwork and maintaining staff records and training files.
  • Promote the nursery through social media, newsletters, emails and relationships with local partners and stakeholders.
  • Support community engagement activities and help raise awareness of YMCA services within the local area.
  • Work collaboratively with colleagues to ensure the smooth running of the nursery and provide practical support within nursery rooms or during lunch cover when required.
  • Manage challenging situations professionally and maintain excellent customer service standards.
  • Ensure confidentiality is maintained and follow all YMCA policies and procedures.

What We're Looking For

We're looking for someone who enjoys building relationships and takes pride in providing excellent support to both families and colleagues.

Ideally, you'll have:

Essential

  • Experience in reception, front-of-house or customer-facing roles.
  • At least two years' experience performing administrative duties in a busy environment.
  • Excellent IT skills, including Microsoft Word, Excel, PowerPoint, Outlook and database systems.
  • Strong organisational skills with the ability to prioritise workloads effectively.
  • Excellent written and verbal communication skills.
  • The ability to maintain confidentiality and handle sensitive information appropriately.
  • Confidence in managing challenging situations and delivering excellent customer service.
  • A positive, proactive and reliable approach.

Desirable

  • Experience working within an early years, childcare or education setting.
  • Experience using nursery management systems.
  • An understanding of community engagement and social media promotion.
